JMP has reached a big goal in our “Year of Compliance” initiative. After months of dedicated collaboration between Legal, Security, and Digital Operations, we are officially launching the first phase of our enterprise-wide Data Retention Policy starting March 15.
This isn't just about deleting old files; it’s a massive win for JMP’s security posture, our system efficiency, and our commitment to being a privacy-first organization.
Behind the change: Salesforce Privacy Center
Since early 2025, JMP teams have been hard at work implementing the Salesforce Privacy Center. This powerful tool serves as our centralized hub for managing personal data across the entire organization.
To get this right, JMP Legal conducted an extensive data-mapping audit alongside key stakeholders to deeply understand how we collect and use data. The result is a system that automates privacy and retention, ensuring compliance while keeping our data ecosystem healthy.
What is the Data Retention Policy?
At its core, this policy governs how long we keep data in our systems. By establishing clear timelines for data storage, we ensure that JMP remains compliant with global regulations and, more importantly, that our systems remain "clean."
By removing "dirty," inactive, or outdated data, we ensure that the information you interact with every day is accurate, reliable, and relevant.
Phase 1: Salesforce leads
This is a large undertaking that will take place in a phased approach to ensure a smooth transition, starting with Salesforce leads.
Starting March 15, 2026, any Lead record in Salesforce with no activity in the last five years will be securely deleted. Following the launch, this process will run automatically on the 15th of every month. Throughout 2026, the policy will expand to other Salesforce objects, including users, orders, cases, contracts, opportunities, contacts, and accounts.

To find out if a lead is scheduled for deletion, navigate to the Leads page and look for the Data Privacy Information section. There are two specific fields in this section that give you the answer: Deletion Status: This tells you "Yes" or "No" regarding whether the lead is marked for deletion. Deletion Date: This shows the exact date the removal will happen. To find out if a lead is scheduled for deletion, navigate to the Leads page and look for the Data Privacy Information section. Why this is a big win for you
This project is a foundational step in JMP’s journey toward "privacy-by-design." Here is why we’re excited:
- You’ll spend less time sifting through "ghost" leads and inactive records and work with a database that reflects our current business landscape.
- By reducing the amount of unnecessary personal data we store, we significantly lower our risk and align JMP with global governance best practices.
- This policy will eventually impact all systems integrated with Salesforce, ensuring data consistency across our entire tech stack.
- Managing data responsibly reinforces the trust our customers and employees place in us.
What’s next?
For most users, no manual action is required! The system will handle the heavy lifting of identifying and removing these inactive records.
While we are starting small with Salesforce Leads, stay tuned for more updates as we roll out these retention principles to other departments and integrated systems later this year.
Thank you to the Digital Operations, Security, and Legal teams for their incredible work over the last year to get us to this launch!

Thank you to everyone who partnered on this project! Looking forward to continuing this momentum as we move into implementation and ongoing governance phase.
Congratulations to all the teams that have worked hard on this. It is a huge win for JMP!
