Salesforce.com app for Outlook for Mac & Apple MailFor those of you who use Outlook for Mac or Apple Mail for your email, you may be interested in an app that's available—Maildrop—to help get your activities into Salesforce.com. (There’s a well-known Outlook plug-in for the same thing, but it works only with Outlook for Windows.) You can download it here: https://appexchange.salesforce.com/listingDetail?listingId=a0N300000016b7rEAA.
A few hints on getting it setup right:
- You likely will need to reset your security token. (Click your name at the top of the Salesforce window in a web browser > Setup > Personal Setup > My Personal Information > Reset your security token.) Maildrop will use your password+security token combination to logon. I use a password manager to do that, since I can’t remember my password, let alone the security token.
- When you’re in the Add Email window, right click on the list box under “Related to What.” In the resulting window, add Territory to the Additional Field of both Account and Opportunity. You then will see the Territory along with the Account and/or Opportunity, so you can be sure to choose the right one when adding your email.
- After setting up Maildrop to work with either Apple Mail or Outlook by toggling the icon in the toolbar, right click on the toolbar, and select Customize Toolbar. Remove Toggle and Add Case (we don’t use cases).
Re: Salesforce.com app for Outlook for Mac & Apple MailJeff,
You're right, using your "email to Salesforce" address is another good and, admittedly, simpler option. The reason it's no longer my preferred way of getting info into Salesforce is that it files everything as an email (e.g. sometimes the email contains notes from an onsite meeting or a phone call) and it doesn't always file the activity under the correct contact/lead and account/opportunity. The app I mentioned gives you full control over the type of activity, the contact/lead, and the account/opportunity at the time you file the activity.
Regards,
Erich
Re: Salesforce.com app for Outlook for Mac & Apple MailAnother option, and the one that I use, is to use your Email to Salesforce address to BCC Salesforce on correspondence with Leads and Contacts.
Every Salesforce user has a unique Email to Salesforce address. You can find yours in the Setup section of Salesforce. Access the Setup section by clicking on your name in the upper right and choosing Setup.
Then click on Email -> My Email to Salesforce.
I added this address to my Contacts and now I BCC it whenever corresponding with customers.
