Current Process
Note: roughly 90% of DP orders are known ahead of time by sales person – existing opportunity
- Order placed by credit card or invoice and once Click Agreement is accepted, the order is immediately processed by emailing the software and generating the invoice. The Contract and Site Number(s) are immediately assigned and show up in the GIDB the following day. The invoice is generated through the Store so does is not reflected in the GIDB Invoice History.
- COMSAT for SETINIT and the ESD email instead of provided by Licensing Operations.
- This creates an (unvalidated) account in GIDB temporarily
- Goes to Orion staging where Biz Ops associates the order to a Validated Orion account. If a valid Orion account does not exist, then one is requested in Orion. Then the updated Account information will flow to the GIDB.
- Biz Ops creates Orion Opportunity and COMIT record
Note: BizOps validates the Orion account in Orion. SalesForce does not initiate account validation for the SalesForce Account. Currently, the DP SalesForce Account does not require account validation until an Upgrade Opportunity is needed.
- Antoine has a job that accesses a specific table in GIDB and creates lead in Salesforce
Digital Platform Flow (from DP Sharepoint site)
- Sales Rep converts to contact and creates a new opportunity or attaches it to a new one.
Challenges
- Non-validated Salesforce accounts created
- Site not associated with existing account in Orion (new account and site gets created for each order)
This is incorrect. The DP Order GIDB Site is Associated with a validated Orion Account. (new account and site gets created for each order). When the DP Order comes into Orion Staging, the system makes a best attempt to link to the correct account. One of the steps performed by Biz Ops is to confirm the correct Orion Account is associated. If the Orion Account is not correct, Biz Ops searches for the correct Account in Orion. If not found or not validated, the Orion New Account request form is completed. Once the Orion Account is created and/or validated, Biz Ops then creates the Orion Opportunity & Comit Sale to add the “Sales Rep with TSR” and Site number so the GIDB Site will be updated with the correct JMP Territory. Then Biz Ops closes the Comit Sale and marks the Orion Opportunity as Won.
- Data flowing from GIDB/Orion instead of starting from Salesforce. Need to expand on this. We have suggested a change to the flow for this. Let the Digital Platform start in SalesForce and the order does not go to ORION Staging. We would have to work with the DP Team for this. Then SalesForce directly to JOI. So this makes the process more like Buy Now.
- We may need to simply note these issues for now and then work with DP IT team to prioritize a solution against our other DP requests already in the works.
