Video Submission Request
User submits a video via the Brightcove Submission Form
https://jmp.com/brightcove
NOTE: The user must have a license to use Salesforce in order to make a submission. If not, the user may submit on behalf of an individual who does.
This sends an email to the Web Team alerting them that a video has been submitted. The email is directed to different team members based on geographic location (North America, Europe, Asia).
Handling Video Service Requests
The email contains a link to the Cases in Salesforce. Make sure that the View is set to Video Services Requests.
https://jmpsoftware.lightning.force.com/lightning/o/Case/list?filterName=00B5b000005EFbKEAW
The new request should be near or at the top of the list. Note the Salesforce Case ID number in the Case Number column on the left. You’ll need that in just a minute.
Download the Video Asset
- Open the Case in Salesforce and scroll down to the Video Information section.
- Copy the URL from the Video Link field and paste it into another tab on your browser.
- Download the video to your hard drive or copy it to your own OneDrive. When you copy it to your OneDrive, test the video to make sure that it plays correctly. This will also download the video for you.
- Rename the video using the following convention:
JAMID-[Two-letter language code]-[SFC+Case Number]-Descriptive-Name.mp4
Example: J24-JP-SFC00008926-Science-of-Stats-Life-Table.mp4
NOTE: The naming convention makes it easier to find the video later. Such as locating it in the JAM, Brightcove, or Salesforce.
This filename is broken down as follows:
- The J number at the beginning is the JAM ID. This helps us to track down the video and the request should we need to update it in the future. We’ll cover the JAM ID more in the next section.
- The two-letter language code. For example:
- EN-English
- JP-Japan
- CN-China
- TW-Taiwan
- FR-French
- DE-German
- IT-Italian
- ES-Spanish
- The SFC number is the Salesforce Case ID.
- This part is a short, descriptive name for the video.
Upload the video to the JAM (JMP Assets Manager)
https://jam.jmp.com/
NOTES: The user must be connected to the SAS network and use their Microsoft login credentials. They must also be approved to submit video content.
- Open the JAM and go to the Video section. Note the JAM ID number assigned to the most recent video. For example, if the most recent number is J50, the JAM ID for your new video will be J51. Rename the video file above using this new JAM ID.
- Drag the video into the JAM upload area.
- Complete the necessary fields for the uploaded video.
- Select the Type (typically Event) and add the appropriate tags. Depending on the number, you may not be able to or wish to assign all of them. We can add the rest later in the Description.
- Copy the title and other fields into the JAM from the Salesforce case, including the Salesforce Case Number.
- When you save the video, the JAM will assign the identifying number that we predicted earlier (e.g., J51).
- We’ll add the Brightcove ID after the next section.
Upload the Video Asset to Brightcove
https://studio.brightcove.com/products/videocloud/home
NOTE: Due to storage limits in Brightcove, we automatically set all videos to expire one year after posting. If a video is still receiving high traffic or there is an essential business case, we can extend the expiration date. We’ll cover how to set this below.
- Open Brightcove Studio and click on the Upload tab on the left.
- If you’re adding multiple videos (or just want to get a head start), select the appropriate Brightcove folder and add any tags on the right.
- Drag the final video file into the Upload window. Brightcove will automatically start uploading the video.
- You can add the additional details from the Salesforce Case now or wait until the video upload completes.
- Brightcove will immediately assign an ID to the video as soon as it starts uploading. You can go ahead and copy this number and add it to the JAM.
- Brightcove automatically selects a poster frame from the middle of the video. This is usually not an ideal selection. Use the Capture button at the top of the screen to set a new poster frame and thumbnail. This must be done by opening the video from the main list and not from inside a folder. You may also add JPG images for these as well.
- Go to the Availability section and click Edit. Set the Availability to 5:00 pm on the last day of the current month, and for the following year. For example, if this is August 16, 2022, you would set the expiration date to 5:00 pm on August 31, 2023. This makes it easier to track video expirations.
Update the Salesforce Case with the Brightcove ID
The final step in adding videos to Brightcove is to update the Case in Salesforce and send the Brightcove ID to the requestor.
- Open the Salesforce Case. Click on Case Feed and Post (next to Details).
- In the “Share an update…” dialogue, type “Hi @UserName.” You must add the @ symbol before the name.
- Add the following text. Replace the ID in red below with the new Brightcove ID, and update the date at the end to the correct expiration:
This video has been added to the JMP - Main account on Brightcove. The ID to use for embedding is: 6307000000000
Preview link: https://players.brightcove.net/5420904996001/default_default/index.html?videoId=6307000000000
It will expire on 8/31/2023
- Click Share. This creates a message in Chatter that will go to the requestor (as well as get added to the Post record below).
