- When setting up meetings for customers from a specific company, you want to ensure only they can Register and Attend. Here are the steps. Comments welcome.
4/16 When working with Andrea and Alisa, a question about how to invite the Champion who will send their employees the registration link. You can add them as attendee (STEP 1 where I added my name) or take the invitation that gets mailed to you to forward (APPENDIX A, STEP 2). I prefer the second option because 1) you have to send the Champion instructions to forward to employees so you can have them tell their employees they must register at least one day ahead of the session using their company email, anyway and 2) then you see in your OUTBOX what you sent it to the Champion.
5/1 I replaced Appendix C: Running Registration Report for Salesforce because the previous version documented WebEx Event Center Reporting. Appendix C now documents WebEx Meeting Center Reporting.
1.
The meeting should be set up by person presenting. However, usually anyone with a SAS/JMP host account can start it. Person that sets up is only one to access/pull registration report (Appendix C). Let anyone with host account start means you can have a colleague start if you can't. You need to send them all the details in advance, however, like event ID, link.

2.

3.

- Unless sure you will have global participants, leave off the global numbers. It makes invitation busy.

- Do not check Exclude password from email invitation. This really means exclude from Registration Confirmation and you DO want the password in the Registration Confirmation (which accepted registrants will add to calendar – Appendix A).
NOTE: If there is anyone else from JMP or organization, have them register as attendee and you can promote them as a presenter during the session. Optional: Add someone who can check on home machine not set up to SAS account.

- If you want to limit to a company, the only way is to manually accept invitation requests, check for email company name, and then approve (Appendix A). Tell contacts that they must register by COB day before because you don’t want them to register late while you are on and can’t approve them.
7. 5/14/2020 Add the legal wording to the top of your agenda and send legal wording and agenda to Champion:It turns out that the registrant does not see the wording or the agenda. So, you can fill it in here as a record, but also should send by email to the Champion.
By registering for this event, you understand and agree that your personal information will also be shared with your employer, . For questions, please contact .

8.

- If host is presenter, host will see Chat anyway. Otherwise, don’t distract presenter.

- Review and Save

More about Registering and Accepting Registrations
Here’s how you spread the word, get registrants, and approve them so they get calendar invitation to your webinar:
- Send yourself an invitation. (Using selections you specified in Step 5 above.)
- Step 2 - Forward the forwarding invitation to someone outside JMP and SAS – to the Champion at your company or whoever is inviting people to register.

- Step 3 – Person to whom invitation is forwarded (and to whom they forward) will get this and they must register.

- Step 4 – After they register, you will see them listed under Registration – Manage Registrations and then you will confirm (check) the individuals you want and accept them.

- Step 5 – People you accept will get confirmation and password to add to calendar:

Appendix 2
During the Session
- Promote any attendee to presenter by clicking on their name then making them presenter by clicking on their name and MAKE PRESENTER.
- MAKE SURE YOU TURN OFF ANYONE CAN SHARE. If you leave that on: This feature allows any participant in your meeting to share content. ... You can also disable this feature while a meeting is in progress if you want more control over sharing as the meeting host.

- Let other JMP people who are presenting monitor Chat.

A reminder about muting.
Before people joing you can go to Participants and Select Mute on Entry.
After they are on, you will also be able to Mute All.

Notes from WebEx Meeting Center Documentation:
Also: As Meeting Host
To mute or unmute specific people, go to the Participants panel, find their name, and select Mute

or Unmute .
You can also mute everyone at once or as they join your meeting. This can be useful to prevent your meeting participants from creating background noise or distracting others.
| |
When you mute participants in Webex Events and Webex Training, only you can unmute them. They can't unmute themselves.
|
- To mute everyone at once, from the Participant menu, select Mute All or Unmute All.
- To configure your meeting to mute each participant as they join the meeting, from the Participant menu, select Mute on Entry.

These guidelines are for setting up a Meeting Center Event where you want to assure only people from one company attend and want to get a list of attendees.
You are scheduling a meeting. It is not for impromptu personal meetings you just start up on the fly. You schedule Meeting Centers here. Is that what you do?

Gail,
I am likely confused, but was thinking that we use "standard" Webex (such as our personal room link) for our day to day demos and then have to use the "Meeting Center" for especially large audiences( like the Mastering and Getting Started sessions). Is it the same? I was concerned our standard would not hold 100 participants.
Thank you,
Tim
Hi Tim,
Our SAS contact said up to 1000 for Meeting Center. The limit you mentioned was several releases ago.
Gail
Hi Gail,
Thanks for this! Please remind me the number of participants our standard Webex will handle before we have to go to the Meeting Center platform. I seem to recall 100, but since we may have some pushing 50 soon, I want to make sure so that all can join.
