Our standard Zoom licenses allow for a maximum of 500 attendees per event (meeting or webinar).
We do have five (5) licenses for meeting and webinars for up to 1000 attendees. These licenses are VERY expensive – that's why we have only five.
However, that’s not an issue since we can schedule the meetings/webinars in these accounts and make the webinar owner an alternative host.
We rarely have more than two large events running simultaneously and NEVER have more than five.
To help with the confusion and scheduling, rather than have these large Zoom licenses assigned to specific people, there are five special Zoom accounts to use for scheduling meetings and webinars for more than 500 (up to 1000) attendees.
Planners across the world have been given scheduling permission into ALL of these accounts. They can see that reflected in
Zoom settings and when scheduling an event.
As a default practice they schedule meetings using the account for their region. If we need to schedule two large events at the same time, try to use an account in a timezone that is as far away from your own as possible to account any conflict.
When scheduling an event, they will make themself (or the event owner) an
Alternative Host. This allows them (or the event owner) to start the event. See more details about Alternative Hosts below.

For any already scheduled events where you’re expecting a large audience you’ll need to move them into the appropriate account. This is easy to do.
- Just sign in to Zoom and find the Meetings or Webinars tab.
- Hover over the meeting or webinar you need to adjust.
- Click Edit, and in the Schedule For section choose the account you want to move it to.
To view or edit a meeting or webinar that belongs to one of these accounts you’ll need to choose that user from the drop down on your Meetings or Webinars section.
About Alternative Hosts
- Alternative hosts can start a Zoom meeting or webinar and will be the host of the event.
- Only people with Zoom licenses in our account can be added as alternative hosts.
- Only people who may have a need to start or host the event should be added as alternative hosts.
- Presenters and others should be added as Panelists in the webinar, or just be sent the meeting invitation for a meeting.
