Hi!
Thanks to everyone who joined us for session 2 of our HubSpot training where we learned the basics of how to pull names for email blasts.
In case you couldn’t join the training session, the recording can be found here.
If you are a marketer responsible for pulling lists for campaigns, hopefully you have completed your workshop with Tina Cui where she demonstrated how to pull the lists for February blasts. The only exception is our friends from Japan, China and those responsible for the Time to Innovate campaigns. Those workshops with Tina have not happened yet but have been scheduled. If you haven’t been included in a workshop and need help or instruction, please let me know!
Below I am sharing some of the questions we’ve received as well as some special items of note.
- Our inaugural blast will be tomorrow to promote the February JMP Hands-on workshops. Woohoo!
- On Tuesday afternoon (01 FEB), Michael will do a complete clean sweep of any campaigns/emails that aren't "real". They will be deleted from HubSpot. This includes any of the test campaigns that marketers have entered as practice or for training.
- If you are using a reply-to email address that contains the @sas.com domain, please do not use @sas any longer! If you have your email as originating from @sas it will either bounce as undeliverable or will go into the recipients SPAM folder. They will not receive your email. We know because we’ve done this before! It has to do with reconciling @JMP to @sas, we show up as an unsafe sender because they are two different email domains.
- The definition for a marketing contact in HubSpot is NOT the same definition that we've been using for a marketing contact in Salesforce. In HubSpot, a marketing contact is anyone that is eligible to receive an email. This includes users and non-users. The HubSpot definition also incorporates country-specific criteria for opt-in/opt-out rules and automatically removes people who have been completely inactive for three years.
How is JMP User defined in HubSpot?
JMP User? is a separate property for selecting in HubSpot. And, that information is pulled over from Salesforce. If Salesforce indicates it is a user, HubSpot will also. The information is synched in real-time.
How will we ensure the two-week blast rule is honored and we aren't slamming our prospects and users with multiple messages?
Tina was great to help us comply with the two-week rule in SDM. She will no longer be overseeing to make sure it is being followed. As you may remember, there is a check box that indicates rules of frequency (in our case it says a marketing contact can only be emailed once in a two-week period). So, when we keep that checkbox checked, the system will automatically ensure there is no overlap. Please, please don't uncheck the box. However, everyone will need to collaborate more closely on their use of names as they pertain to campaign goals. As someone mentioned in the chat, the names shouldn't go to the first person that puts their campaign in (because that's cheating!) Right? In the near future, we are planning to make use of the calendar function in HubSpot which allows us to see all upcoming emails and spot potential list conflicts in advance.
Is there a way to exclude someone from a blast that has already registered for the event in which we are promoting?
Yes. Within lists in HubSpot, under JMP Email Criteria, you can exclude members of a campaign (i.e. select "is not equal to any of", then paste in the “campaignid”.)
What are evergreen lists and how are they used?
If you will remember from our training session, there is a set of folders for lists. The folders are comprised of common campaigns for example, Mastering JMP, Discovery Summit, etc. We are referring to these lists in folders as our evergreen lists. Tina is setting them up for all of our campaigns we run frequently. You can find these evergreen lists within a parent folder called Standard Email Lists.
If one of these lists is exactly what you need, you can select that list to use for your blast.
If you have small changes you need to make to an evergreen list Tina has set up (for example, maybe you want to take out a country she has included or exclude members of a particular campaign), please do these two things:
Make your desired change(s).
Go to ALL LISTS to locate your list (It will not appear in the folders with the evergreen lists).
When do I use the CTA and when do I use a direct URL?
For the first few weeks, please use the direct URL. After everyone is comfortable with the system, we will do additional training and provide more information on using CTA.
What are the nomenclature guidelines for lists?
The nomenclature for your list should match your email nomenclature. Here's an example:
