Hi and thanks to everyone who joined us yesterday for our first HubSpot training where we learned how to create emails in HubSpot using the templates provided.
If you missed it, the recording can be found here.
For a quick summary of the steps involved to create and send an email, feel free to reference this 11-minute tutorial.
Our next session will be January 25th when our HubSpot onboarding specialist will demonstrate how to pull lists. I am also including some of the questions received in chat during the session to benefit those that might have the same question!
Will I be responsible for pulling my own email lists?
Yes, we will no longer have Tina available as a database marketing resource for list pulls (insert sad face here), however we are looking at a way to create list templates of the most common requests to make the process a little easier (i.e., Discovery Summit invites, Mastering JMP invites, Statistically Speaking invites).
Is HubSpot connected to Salesforce?
Yes, JMP user data and prospecting data will synch to HubSpot automatically after Antoine completes the initial load. Also, any changes to the marketing contact record in HubSpot will synch back to Salesforce. The record will be the same in both systems. *Note: In HubSpot, a marketing contact does not mean the same thing as a contact in Salesforce. A marketing contact can be user or prospect--essentially anyone in HubSpot that we might communicate with in an email campaign.
Will we be able to create 1-to-1 emails like we did in SDM for the sales organization to invite customers and prospects to events?
The functionality will not be the same as what we had with SDM, however there will be a way for you to send an email to yourself (or the appropriate salesperson) so that it can be forwarded to customers and prospects.
Will there be a list of the marketing contacts that get omitted from an email blast because they have already been emailed with the two-week timeframe?
Yes, when you go into performance metrics and drill into the recipients tab, there's a link entitled "not sent" in the left-hand column. This will show you the people that did not receive the email and the reason they did not receive such as:
- They have already hit the frequency cap (two week rule)
- They have unsubscribed from our emails
- Their email address had a hard bounce
When I type in an email address, I get a message saying the email must be verified before I can send a test email. Why is this happening?
When sending our test email yesterday, you had the opportunity to enter an email address in two separate fields. The first is when you selected to whom you would send your test email. This email will be selected from marketing contacts already in HubSpot. The second instance is when you select from whom will the email be sent--for example, you may want the email to be sent from jmpinfo@jmp.com to amy.bullock@jmp.com. In this case, HubSpot will notify you that jmpinfo@jmp.com needs to be verified as a valid, non-spam address. HubSpot would then send an email to jmpinfo@jmp.com and the person managing that inbox would verify it is ok to send an email from that address.
I sent a test email to my jmp.com email address and I didn't get it. What happened?
We are still doing some final tweaking to make sure this does not happen, but in the meantime please check your quarantine folder.
When do I use the CTA and when do I use a direct URL?
For the first few weeks, please use the direct URL. After everyone is comfortable with the system, we will do an additional training and provide more information on using CTA.
If I have already built my emails in AEM after for blasts after January 31, will they need to be re-created in HubSpot?
Yes.
If I have entered my 2022 emails as deliverables in GMS, do I need to put my request in anywhere else?
No, thankfully we are going to be able to use GMS for several more months. The web and SIA teams are working with Kristy Lynn on changing tasks in the current workflows to reflect how to create, test and send an email in HubSpot versus AEM. We are also investigating other project management tools to replace GMS.
Will we be creating landing pages in HubSpot or continue using AEM?
For the immediate future, we will continue to use AEM and begin testing some forms in HubSpot to measure conversion rates in both systems.
The graphic header is not showing up in some of the browsers. Who should I contact?
We are aware of this issue. Michael and Roger are working to resolve.
Does HubSpot autosave my email while I am working on it?
Yes.
For our internal newsletters, do I use "marketing info" as the subscription type?
Thanks for bringing this up. Great question! No, after consulting with HubSpot, we would like to create a "transactional" subscription type that can be used for internal emails/reports/newsletters. This will take a few days as it's a separate IP set up for our Salesforce team to implement. Stay tuned!
For any additional questions, feedback, concerns, please reach out to me or John Mosier.
We are super excited about the opportunity to implement this new marketing automation tool and about working with you!
