Roles and Responsibilities

Here's the document detailing who is responsible for which parts of Discovery Summit Americas. There will be additional details to come, but these are the folks in charge of big-picture items. 

 

Hubb Platform Build – work with Hubb team to build platform, gather, upload and manage all content with platform, including developing help desk, FAQs, links, etc Katie Stone, Holly Connors, Janice LeBeau, Lori Harris, Jeff Perkinson

 

Registration – handle registrant information, during event, assist with and communicate with SAS Help Desk and Hubb Lori Harris, John Jones’ team

 

Event Support List – create, manage, assign and communicate staffing schedule, assign moderators for each session, assign people to create Zoom meetings (with licenses) Jeff Perkinson, Diana Levey

 

Meet the Developers Meetings – manage, coordinate and communicate details for the Meet the Developers booth. Will need several SEs (and maybe others?) to host Zoom breakout rooms  [work with Discovery Expo team] Jeff Perkinson

 

Birds of a Feather Zoom Hosts/Moderators – host live discussion topics
5+ topics per day? Use Brainstorm to schedule? Would be great to be flexible with these. Maybe separate zoom calls to make it easier for attendee to self-select the topic they’re interested in, these can have their own b/o rooms so that there are less people in each if necessary. Start with existing topics from previous Discoveries (Hosts cannot be assigned until more details are in place.)

 

Zoom Hosts for Simu-live Papers – need hosts for five (5) simu-live seminars each day (likely one Inside Sales rep & one SE)

 

Need Hosts and Moderators for each session - introduce presenter, assign attendees to chat rooms. Presenter answering questions.

 

Plenary Chat Room Q & A – for both Zoom and Hubb, field incoming questions and answer, assist presenter

 

Help Desk – staff help desk and troubleshoot, work with Hubb Technical staff and SAS Technical staff as needed Someone from web team (Aaron?), Lori Harris or Katie Stone or Holly Connors, Details TBD

 

Poster/Paper Ratings – (may use Hubb for this, details TBD, need to learn more about evaluation tool) gather information from all ratings for awarding winners

 

Welcome Video – Diana gathering videos, Ed will assemble welcome greetings from videos recorded by JMP staff Ed Harriss and Production team

 

Tutorial Video – develop content, write script - Jeff Hudgin’s team will record with Jessica, coordinate details Holly’s team, Diana Levey/Jessica Marquardt (writing) *check with Hubb if they have a good demo example

 

Activities (Exercise breaks) – coordinate details, gather recordings, prepare for publishing on Hubb Ryan DeWitt, Diana Levey, Katie Stone

 

Keynote Speakers and Speaker Care – manage IT for them, cameras/microphone, schedule calls & rehearsals, work with Hosts and Moderator, work with Production, create and share best practices document [work with Janice LeBeau for contracts] Anne Milley, Ashley Tannert, Holly Connors assist as needed

 

Paper Presentations and Posters – manage all materials, coordinate with hosts/moderators, confirm presenters will be live for simu-live presentations, communicate details Kirsten Boyd

 

Discovery Expo – manage details on the Discovery Expo lobby. Including coordinating with Tech support (will be part of Meet the Developers) work with developers for the Meet the Developer booths, JMP Training and SAS Books, Birds of a Feather, [works with JMP Store team] [works with Activities team] Katie Stone, Janice LeBeau

 

Data Challenge – create, develop, manage surveys and incoming data, figure out how this data is published in Community Julian Parris, Sara Doudt

 

JMP Store, Giveaways, Books – manage details around JMP Store, any giveaways and books. [work with Discovery Expo team] Kevin Nusbaum, Ashley Tannert, Holly Connors, Katie Stone

 

Social Hours – responsible for gathering details for “After-hours Socials” Academic Group and Users Groups, including details with Zoom Janice LeBeau

 

First-timers – Diana Levey, Jeff Perkinson

Academic Group – Curt Hinrichs
Users Group – Robin Moran

 

Steering Committee – manage details with Steering Committee. Includes assigning roles during the conference, arranging pre/post meetings, arranging, purchasing and shipping gifts Kathy Walker

 

Production Management and Videos – work with Production team on uploading recordings [work with Jeff P and Kirsten] Holly Connors, Katie Stone, Janice LeBeau

 

Budget, Contracts, Payments – Janice LeBeau, Holly Connors

 

JMP Discovery Website Content Manager – John Mosier

 

Artwork, Graphics Management – [work with Karen, Aaron’s team] Katie Stone, Holly Connors

 

Communications – including scheduling email blasts, keep track of what information needs to be communicated, troubleshoot, create back-up plan John Mosier

 

Writing – includes writing and editing Talking Points, canned scripts for chat rooms, planting questions from audience Diana Levey, John Mosier

 

Social Media – social media feeds, manage profile images for attendees Arati Mejdal, Ashley Tannert, Diana Levey writing

 

JMP Community content – Ryan Gilmore, Jeff Perkinson assist as needed
