For this example, I'm using Discovery Summit US 2017.
Steps For Discovery Paper Presenters to Upload Materials into Community
- Kathy or Elias will send paper presenter first name, last name, presenter titles, paper title, abstract, user level, paper number and emails to Stan. If there are co-authors, send the email of the one presenter that you have been in touch with the most/the presenter that will upload presentation materials into the community.
- Kathy or Elias will let Stan know the date when materials should be uploaded to community.
- Stan will confirm who is a member of the community and who needs to join. For non-community members, Kathy or Elias will ask them to join and explain importance.
- Stan will upload abstracts to the community on behalf of each primary author.
- Stan will repeat process of uploading as needed.
- Stan will send Kathy or Elias a list of each presenter’s unique URL in the community.
- Kathy or Elias will send email merge to presenters with specific community URL, ask them to upload materials in the community.
- Sample email:
Dear, [NAME]
We are excited for your upcoming paper presentation at Discovery Summit.
Each Discovery Summit, paper and poster presenters share their presentation materials in the JMP User Community. This enables knowledge sharing across the larger JMP community.
Now, we need your materials, too—this includes your paper, slides and/or any other files related to your presentation that you want to share. We’ve even made sharing easy for you by creating a document in the User Community that already contains your title and abstract.
Here is what we need from you by September 15:
- Review your document with your title and abstract: [URL]
- Edit this document to expand on your abstract
- Attach your supporting materials files (paper, slides, etc.) to this document
Click here for a good example of shared Discovery paper materials.
Thank you, and see you soon!
Sincerely,
Kathy
P.S. Please have all files uploaded by September 15. We will be announcing this shared resource during the conference, so you will want to have your materials available.
